  • Applies broad knowledge of HIPAA regulations, organizational privacy and security policies, electronic medical record structure, release of information application and general medical documentation to respond to requests for patient health information from patients, various healthcare entities, attorneys, insurance companies and others that may be submitted via fax, phone, mail or in person.
  • Fulfills release of information requests to facilitate other internal department workflows.
  • Coordinates record release for audits and accreditation surveys.
  • Facilitate the timely and accurate release of patient information via several methods including paper, and Electronic Media.
  • Maintains up-to-date knowledge surrounding changes in Release of Information and charging guidelines and regulations.   Serves as a resource for information surrounding departmental and facility release of information policies.  Serves as a knowledge source surrounding release of information, record content and organization structure to the ROI outsource vendor as needed.
  • Ensures that the EHR and patient’s PHI remains secure while maintaining and/or releasing critical information. .
  • Maintain up-to-date knowledge surrounding changes in Release of Information and charging guidelines and regulations.  
  • Assists leadership with development and maintenance of Release of Information letters and forms in accordance with HIPAA, organization and Epic guidelines to support the Release of Information workflow.
  • Maintains the requestor database in our electronic health record to facilitate accurate, timely release of information and to ensure confidentiality of patient information.
  • Support accurate billing and timely collection through the generation of invoices and posting of payments for medical records released, following up as necessary with tact, on outstanding balances.
  • Troubleshoot issues surrounding missing or incomplete documentation, engages leadership for assistance as appropriate.
  • Coordinates with Legal and Risk Management on the review of complex legal requests and legal processes. Assists with legal hold and preservation process.


  • Maintain a high level of confidentiality.
  • Apply broad knowledge of HIPAA regulations.
  • Knowledge of types of health information and the rules and regulations surrounding their use.
  • Understanding of common medical terminology, anatomy and physiology.
  • Solve problems by analyzing information and using logic to address issues and problems.
  • Develop effective relationships with patients, hospital departments, and other external parties.
