  • Index documents to appropriate document type within the electronic medical record system.
  • Prepare medical record documents for scanning and scan them using an electronic system to ensure accuracy and timeliness as needed.
  • Understand organization electronic records and appropriate documentation and information update processes.
  • Demonstrate technical expertise of the Epic electronic medical record and scanning equipment to ensure optimal image results, including document imaging minor maintenance and system setting.
  • Perform technical troubleshooting with scanning equipment and communicates issues to the IS CONNECT system. Demonstrate expertise in EPIC media manager for scanning documents to the physician order.
  • Display strong independent judgment and critical thinking skills in determining document types within ONBASE to ensure the accuracy of the legal medical record.
  • Validate data integrity by ensuring that documents are clear and legible.
  • Serve as subject matter expert in scanning and indexing processes to assist clinical staff in locating scanned documents within EPIC.
  • Take ownership and necessary action for addressing complex problems/challenges of the ONBASE system.
  • Identify and recommend opportunities for workflow improvement, procedures, policies for prepping, scanning and indexing techniques.
  • Monitor system effectiveness through day to day workflow operations.


  • Experience using basic computer office programs.
  • Customer service experience.
  • Experience working in an HIM/Medical Records department.
  • Experience using EMR, EPIC preferred, and document imaging systems.
  • Apply accreditation requirements to medical record chart completion.
  • Experience working in a physician practice, healthcare office, HIM, or medical records setting.



2+ years experience, preferably working in physician practice, healthcare office or HIM, or medical records setting. Experience using EMR, Epic preferred, and doucment imaging systems.

Possible Certification(s): Certified Medical Records Technician
